Notebooks keep all your coaching notes, meeting summaries, and insights in one place. Think of them as your coaching journal — structured, searchable, and always at hand.
What are Notebooks?
Notebooks are collections of notes (pages) organized into sections:
- Team Member Notebooks — One per rep (created automatically)
- Team Notebook — Shared across all reps
- Personal Notebooks — Custom notebooks you create
Each notebook has sections to group related notes (e.g., "Meetings", "Pipeline Reviews", "Skills Development").
Notebook Structure
Team Member Notebooks
Every team member gets their own notebook automatically:
Default Sections:
- General — Misc notes and observations
- Meetings — Auto-saved from 1:1s
- Skills — Skill notes and coaching plans
- Pipeline — Deal-specific notes
Cannot be deleted:
- The "General" and "Meetings" sections are protected
- A team member's notebook exists as long as the rep is active
Team Notebook
One shared notebook for all your reps:
Default Sections:
- Pipeline Reviews — Team-wide pipeline notes
- All-Hands — Team meeting notes
- General — Team observations
Use Cases:
- Track team-wide patterns
- Plan team-wide initiatives
- Store team goals and OKRs
Personal Notebooks
Create your own notebooks for specific purposes:
Ideas:
- Quota Planning
- Quarterly Performance Reviews
- Manager Development Notes
- Win/Loss Learnings
Creating Notes
From Meetings (Auto-Save)
- Take notes during 1:1 prep or the meeting
- Notes save automatically to the rep's "Meetings" section
- Filed under the meeting type and date
Manual Creation
- Go to Notebooks in the sidebar
- Select a notebook and section
- Click New Note
- Give it a title
- Start writing
Note Editor
Rich text editing with:
Formatting:
- Bold, italic, underline
- Headers (H1, H2, H3)
- Bulleted and numbered lists
- Code blocks
- Links
Special Features:
- Checklist items — Track tasks within a note
- Auto-save — Saves as you type
Sections
Organize notes within a notebook using sections:
Creating Sections
- Open a notebook
- Click New Section
- Name it and choose a color
- Add notes to the section
Protected Sections
Some sections can't be deleted:
- "General" and "Meetings" in team member notebooks
- "All-Hands" in the team notebook
Moving Notes Between Sections
- Drag and drop notes
- Or edit a note and change its section
Tags
Add tags to notes for easy filtering:

Tag Features:
- Add multiple tags per note
- Filter by tag in the note list
Search
Find notes quickly:
Search Options:
- Full-text search — Search note titles and content
- Filter by notebook — Narrow to a specific notebook
- Filter by section — Narrow to a specific section
- Filter by tag — Show only tagged notes
Search Tips:
- Combine filters for precision
- Recent notes appear first by default
Attachments
Add files to notes:
Supported Formats:
- PDFs
- Text files (.txt)
- Word documents (.docx)
How to Attach:
- Open a note
- Click Attach File
- Select a file
- The file appears with the note
Max File Size: 10 MB per file.
Encryption
Note content is encrypted at rest:
What's Encrypted:
- Note content (title and body)
- Attachments
- Checklist items
Why This Matters:
- Coaching notes are sensitive
- Your data stays private
Exporting Notes
Export notes for backup or to use elsewhere:
Export Formats
- Markdown — Plain text, organized by notebook and section
- DOCX — A Word document with all your notes
- JSON — All notes with metadata
- CSV — A spreadsheet of your notes
How to Export
- Open the export option in Notebooks
- Choose a format
- Download the file
Importing Notes
Import notes from other tools:
Supported Formats:
- Markdown (.md)
- Plain text (.txt)
- JSON (from a SMVue export)
How to Import:
- Go to Notebooks
- Click Import
- Select your file(s)
- Choose the destination notebook and section
- Click Import
What's Preserved:
- Note titles
- Content and formatting
- Timestamps (if in JSON)
- Tags (if in JSON)
Notebooks for Different Seat Types
Manager Seat
- Full access to all notebooks
- Create notebooks and notes
- Export and import
Executive Seat
- Read-only access to team notebooks
- Cannot create or edit notes
Rep Seat
- Read-only access to their own team member notebook
- Cannot create or edit notes
- Cannot access manager or team notebooks
Best Practices
Organize Notes by Purpose
- Meeting notes → Team member "Meetings" section
- Pipeline observations → Team member "Pipeline" section
- Team-wide insights → Team Notebook
- Planning work → Personal notebooks
Use Tags Consistently
- Decide on a tag taxonomy early
- Use the same tags across notebooks
- Don't over-tag (3-5 tags max per note)
Review Notes Before 1:1s
- Check the rep's "Meetings" section
- See what you discussed last time
- Follow up on action items from your notes
Capture in the Moment
- Jot the note while it's fresh
- Don't wait until the end of the day
Troubleshooting
Notes not saving
Issue: Changes disappearing or "Saving..." stuck.
Solutions:
- Check your internet connection (auto-save needs to be online)
- Refresh the page to force a sync
- Copy your content to the clipboard as a backup
- Contact support if it persists
Cannot find a note
Issue: You know you created it but can't locate it.
Solutions:
- Use full-text search
- Check all notebooks (it might be in the wrong one)
- Filter by section or tag to narrow down
Section won't delete
Issue: You can't delete a section.
Explanation:
- "General" and "Meetings" sections are protected
- A section with notes inside can't be deleted
Solution:
- Move the notes to another section first
- Or delete the notes before deleting the section
