Action Items

Create, assign, and track follow-ups so coaching commitments don't slip.

Action Items help you track follow-ups so coaching commitments don't fall through the cracks.

What are Action Items?

Action Items are tasks assigned to team members:

  • Created during 1:1 meetings or from a rep's profile
  • Assigned to specific reps
  • Include due dates and priorities
  • Track completion status

Purpose: Keep the team accountable and follow through on what you agreed in coaching conversations.

Creating Action Items

From Meetings

While you take notes in a 1:1, create an action item, describe it, set a due date, and assign it to the rep (or yourself). Action items created in a meeting are linked to that meeting automatically.

From a Rep's Profile

  1. Go to the team member's profile
  2. Click Create Action Item
  3. Fill in the details (title, description, due date)
  4. Set the priority (Low, Medium, High)
  5. Click Create

Action Item Details

Title

  • A brief, action-oriented description ("Update Acme close date," not "Acme")

Description

  • Optional longer explanation
  • Context for why this matters
  • A link to a related deal or note

Due Date

  • Set a realistic deadline
  • Or leave it open for an ongoing item

Priority

  • High — Urgent, needs immediate attention
  • Medium — Important, but not urgent
  • Low — Nice to have, when time allows

Assignee

  • Usually the rep
  • Can be yourself (a manager follow-up)
  • Cannot be a user outside your team

Linked Resources

  • Link to deals
  • Link to meetings
  • Link to notes

Tracking Action Items

On the Dashboard

  • See overdue action items at a glance

On a Rep's Profile

  • All action items for that rep
  • Filtered by status (Open, Completed, Overdue)
  • Sorted by due date

On the Meetings Page

  • Action items from a specific meeting
  • Track the commitments made in that 1:1

Aggregated View

Go to Action Items in the sidebar:

  • See action items across all reps
  • Filter by assignee, status, or priority
  • Sort by due date or priority

Completing Action Items

Mark Complete

  1. Open the action item
  2. Click Mark Complete
  3. The item moves to your "Completed" list

Overdue Items

If an item isn't done by its due date:

  • It's marked "Overdue" (highlighted)
  • It shows up in your dashboard alerts
  • Follow up in the next 1:1

Editing Action Items

Update Details

  • Change the due date
  • Adjust the priority
  • Edit the description
  • Reassign it to someone else

Delete Action Items

  • Remove one that's no longer relevant
  • Deletion can't be undone

Reminders

Reminders can be sent before an action item's due date, and overdue items show up in your dashboard alerts. Reps can manage their notification preferences in Settings → Notifications.

Best Practices

Be Specific

Good:

  • "Update Acme Corp close date to a realistic Q2 date"
  • "Complete the discovery call training module by Friday"

Less Good:

  • "Update deal"
  • "Training"

Set Realistic Due Dates

  • Don't set everything to "tomorrow"
  • Align with the next 1:1 for follow-up
  • Leave buffer time for complex tasks

Review in 1:1s

  • Start each 1:1 with an action item review
  • Celebrate completions
  • Adjust due dates if needed
  • Understand what's blocking the rep

Don't Over-Use

  • 3-5 action items per rep at a time
  • More than that gets overwhelming
  • Quality over quantity
  • Link action items to the deal they relate to
  • Link to the meeting where you created them
  • Add a description for "why this matters"

Rep Experience

Rep Dashboard

Reps see their own action items on their dashboard:

  • Open items with due dates
  • Overdue items (highlighted)
  • Recently completed (for reference)

Rep Seat Limitations

  • Can view their own action items
  • Can mark items complete
  • Cannot create new action items
  • Cannot delete action items
  • Meetings — Create action items during 1:1s
  • Dashboard — See overdue action items at a glance
  • Notebooks — Link action items to your notes
