Billing & Subscriptions

Manage your SMVue subscription, payment methods, and seat assignments.

Billing & Subscriptions is where you manage your SMVue plan, payment methods, and seat purchases.

Access Billing by going to Settings → Billing (Owner only).

Plans

SMVue has two plans: Solo and Team. Both start with a 14-day free trial.

The Manager seat is $150/month and is the only paid seat. Rep seats and Executive seats are free, read-only, and unlimited. For the latest pricing, open Settings → Billing in the app, which always shows live prices, or ask the in-app support chat.

Solo

For a single sales manager (or an advisor running a client's sales org).

  • 1 Manager seat (you) — $150/month
  • Unlimited Rep seats (free, read-only)
  • Unlimited Executive seats (free, read-only)
  • All core coaching tools: dashboard, pipeline, meetings & prep, performance, action items, notes
  • CRM & calendar integrations
  • Sales Coach

Best For: A solo manager and their reps

Team

For organizations with multiple managers — custom pricing.

  • Everything in Solo, plus:
  • Multiple Manager seats (each manager seat is paid)
  • Centralized billing for multiple managers
  • Multi-manager organization and team grouping

Best For: Orgs with multiple managers

Add-ons

Add-ons can be purchased on top of either plan. Add-on pricing isn't public — contact us for add-on pricing.

  • Sales Coach for Reps — Sales Coach access for rep seats
  • Sales Coach for Execs — Sales Coach access for executive seats
  • Meeting Notetaker — sends a notetaker bot to your calls to transcribe them and produce summaries and pre-call prep (beta)

Billing Intervals

Choose monthly or annual billing:

Monthly

  • Billed every month
  • Cancel anytime
  • Full flexibility

Annual

  • Billed once per year
  • Annual commitment

To Switch:

  1. Go to Settings > Billing
  2. Click Change Billing Interval
  3. Select Monthly or Annual
  4. Confirm

Free Trial

Every account starts with a 14-day free trial:

Trial Includes:

  • Full access to plan features
  • No automatic billing (we ask first)

After Trial:

  • We'll email you before the trial ends
  • Choose to enter a payment method and continue
  • Or cancel (no charge)

Upgrading Plans

Solo → Team

  1. Contact sales@smvue.com
  2. Discuss team size and needs
  3. Receive a pricing quote
  4. Sales team handles the upgrade

Adding Seats

Manager Seats

The Manager seat is $150/month and is the only paid seat. The Solo plan includes one Manager seat; adding more paid Manager seats requires the Team plan.

  1. Go to Settings > Billing
  2. Click Manage Seats
  3. Increase Manager seat count
  4. Click Update
  5. Confirm

Pricing:

  • $150/month per Manager seat (Team plan uses custom pricing — contact sales)

Executive Seats

Executive seats are free, read-only, and unlimited on every plan. There's nothing to purchase — just invite executives from Settings > Team and assign the Executive seat type.

Rep Seats

Rep seats are always free, read-only, and unlimited on every plan.

No need to purchase Rep seats — just invite reps from Settings > Team.

Payment Methods

Adding a Payment Method

  1. Go to Settings > Billing > Payment Methods
  2. Click Add Payment Method
  3. Enter credit card details
  4. Click Save

Accepted Cards:

  • Visa, Mastercard, American Express, Discover
  • Debit cards with credit card number

Security:

  • Payment processing by Stripe (PCI DSS compliant)
  • SMVue never stores full card numbers
  • Encrypted transmission

Updating Payment Method

  1. Go to Settings > Billing > Payment Methods
  2. Click Update Card
  3. Enter new card details
  4. Click Save

Old card removed automatically

Multiple Payment Methods

You can store multiple payment methods:

  • Set one as default
  • Use different cards for different subscriptions
  • Remove unused cards anytime

Billing History

View past invoices and payments:

  1. Go to Settings > Billing > Billing History
  2. See all invoices (past 2 years)
  3. Download PDF invoices
  4. View payment status (Paid, Failed, Pending)

Invoice Details:

  • Invoice date and amount
  • Payment method used
  • Line items (seats, add-ons)
  • Tax breakdown

Proration

SMVue automatically prorates when you:

  • Add seats mid-cycle
  • Remove seats mid-cycle
  • Change billing interval
  • Upgrade or downgrade plan

How It Works:

  • You pay only for days used
  • Credit applied to next invoice
  • No manual calculation needed

Example:

  • Today is Dec 15
  • Your next billing date is Jan 1
  • You add 1 Manager seat
  • You pay for 17 days (Dec 15-31) prorated
  • Full price starts Jan 1

Cancellation

Cancel your subscription anytime:

  1. Go to Settings > Billing
  2. Click Cancel Subscription
  3. Select reason (optional feedback)
  4. Confirm cancellation

What Happens:

  • Access continues through end of billing period
  • No refund for partial month
  • Your data is retained for a grace period after cancellation, so you can reactivate without losing it

To Permanently Delete:

  • Use Delete Organization in Settings > Data & Privacy, or contact support — this is the only way to permanently remove your data right away

Failed Payments

If a payment fails:

  • Stripe automatically retries the charge for a while, with no immediate interruption to service.
  • We email the Owner to remind them to update the payment method.
  • If the payment keeps failing, access is restricted until billing is resolved.

To Resolve:

  • Update your payment method in Settings > Billing
  • Service resumes once a payment succeeds

Tax Handling

SMVue uses Stripe Tax for automatic tax calculation:

How It Works:

  • Tax calculated based on billing address
  • Compliant with local tax regulations
  • Shown separately on invoice

Supported Jurisdictions:

  • US sales tax (state and local)
  • Canadian GST/PST/HST
  • EU VAT
  • Other countries as applicable

VAT Numbers:

  • EU customers can provide VAT number
  • Enter in Settings > Billing > Tax Information
  • Exempts VAT if valid (B2B)

Seat Quantity Management

View and adjust seat counts:

  1. Go to Settings > Billing > Seats
  2. See current seat usage:
    • Manager seats (used / purchased) — the only paid seat
    • Executive seats (used) — free, read-only, unlimited
    • Rep seats (used) — free, read-only, unlimited
  3. Click Adjust Seats to change paid Manager seat quantity
  4. Preview cost impact
  5. Confirm changes

Cost Preview:

  • Shows prorated charge/credit for paid Manager seats
  • Reflects on next invoice

Billing Contacts

Add additional billing contacts to receive invoices:

  1. Go to Settings > Billing > Contacts
  2. Click Add Billing Contact
  3. Enter email address
  4. Save

Billing contacts receive:

  • Monthly invoices
  • Failed payment notifications
  • Billing updates

Do not receive:

  • Access to SMVue platform
  • Product notifications

Team Plan Billing

Team plan customers can ask about additional billing options:

Invoice Billing

  • Net 30 or custom terms
  • Purchase orders accepted
  • Wire transfer payment

Custom Contract

  • Annual or multi-year agreements
  • Custom terms and conditions

Troubleshooting

Payment failed

Issue: Card declined or payment failed

Solutions:

  • Verify card details (number, expiry, CVV)
  • Check with your bank (may be fraud prevention)
  • Try different payment method
  • Contact support if issue persists

Wrong amount charged

Issue: Invoice amount doesn't match expectations

Explanation:

  • May include proration from seat changes
  • Tax added based on billing address
  • Previous credits or charges applied

Solutions:

  • Review invoice line items in Billing History
  • Contact support with invoice number for explanation

Cannot change plan

Issue: Upgrade/downgrade button grayed out

Solutions:

  • Ensure you're the Owner (Admins cannot manage billing)
  • Check for failed payment blocking changes
  • Team plan changes require contacting sales
  • Contact support if issue persists

Tax ID not applying

Issue: Entered VAT number but still charged tax

Solutions:

  • Verify VAT number format is correct
  • Ensure country matches billing address
  • Check VAT number is valid (VIES database)
  • Tax may apply to previous invoices (not retroactive)
  • Contact support for verification
