Team Management

Set up your sales team, assign managers, and configure pipelines and quotas.

Team Management is where you organize your sales team, import team members from your CRM, assign managers, and set up pipelines and quotas.

Accessing Team Management

Go to Team in the sidebar to access team management features.

Adding Team Members

Manual Creation

  1. Click Add Team Member
  2. Fill in details:
    • First name, last name
    • Email address
    • Role (AE, SDR, CSM, etc.)
    • Manager (assign to yourself or another manager)
    • Seat type (Manager, Executive, or Rep)
  3. Click Create
  4. Team member receives invitation email

Importing from CRM

SMVue can automatically import users from your CRM:

  1. Click Import from CRM
  2. SMVue shows all CRM users who own deals
  3. Select users to import
  4. Assign each to a manager
  5. Choose their role
  6. Click Import

What's Synced:

  • Name and email from CRM
  • Deal ownership (automatically links their deals)
  • User is created with Rep seat by default

When to Use:

  • First-time setup (import entire team)
  • Adding new reps (import just new users)
  • Syncing after CRM changes

Team Member Profiles

Each team member has a profile with:

Basic Information

  • Name, email, role
  • Assigned manager
  • Seat type
  • Hire date (for cadence recommendations)

Performance Data

  • Current quota and progress
  • Open pipeline value and deal count
  • Win rate and average deal size
  • Attention score (how much coaching they need)

Coaching History

  • Past 1:1 meetings
  • Action items assigned
  • Skill assessments
  • Notebook with coaching notes

Assigning Managers

Each team member must have a manager:

To Assign:

  1. Go to team member's profile
  2. Click Edit
  3. Select manager from dropdown
  4. Save

Manager Hierarchy:

  • Managers see team members assigned to them
  • Executives get a read-only view across managers (exec rollup is still maturing)
  • The Team plan supports multi-manager organizations

Best Practice: Assign reps to the manager who runs their 1:1s.

Teams

Organize team members into teams:

Creating Teams:

  1. Go to Teams tab
  2. Click Create Team
  3. Name the team
  4. Choose a color (for visual organization)
  5. Add team members

Use Cases:

  • Organize by geography (East, West)
  • Organize by segment (Enterprise, SMB)
  • Organize by product line

Benefits:

  • Filter analytics by team
  • Compare team performance
  • Assign team-wide quotas

Pipelines

Import and configure sales pipelines from your CRM:

Importing Pipelines

  1. Connect your CRM (Settings > Integrations)
  2. Pipelines import automatically
  3. Go to Settings > Pipelines to view

What's Imported:

  • Pipeline names
  • Stage names and order
  • Stage probabilities (for forecasting)

Managing Pipelines

Set Default Pipeline:

  • If you have multiple pipelines, set which one is primary
  • Used for dashboard and forecast calculations

Stage Probabilities:

  • Override CRM probabilities if needed
  • Used for weighted forecast
  • Custom probabilities don't sync back to CRM

Multiple Pipelines:

  • Filter deals by pipeline
  • Track conversion rates per pipeline
  • Compare pipeline performance

Quotas

Set quotas for team members to track performance:

Creating Quotas

  1. Go to team member's profile
  2. Click Set Quota
  3. Configure:
    • Quota period (Weekly, Monthly, Quarterly, Annual)
    • Quota type (Revenue, Deals, Activities, Custom)
    • Target amount
    • Start date
  4. Click Save

Quota Types:

  • Revenue — Dollar amount to close
  • Deals — Number of deals to close
  • Activities — Number of meetings/calls
  • Custom Metric — Track a metric you define

Bulk Quota Assignment

Set quotas for multiple reps at once:

  1. Go to Team page
  2. Select team members (checkbox)
  3. Click Set Quotas
  4. Choose quota configuration
  5. Apply to all selected

Use Cases:

  • Quarterly quota planning
  • New fiscal year setup
  • Adjust quotas mid-period

Quota Tracking

SMVue automatically tracks:

  • Actual — Closed-won revenue or deals in period
  • % to Goal — Progress toward quota
  • Forecast — Projected attainment based on pipeline
  • Pacing — On track, ahead, or behind

Dashboard Integration:

  • Dashboard shows quota progress
  • Attention score factors in quota attainment
  • Alerts for reps behind on quota

Skill Assessments

Track and develop rep skills:

Creating Skill Assessments

  1. Go to team member's profile
  2. Click Skills tab
  3. Click Assess Skills
  4. Rate each skill (1-5 scale):
    • Discovery
    • Demo / Presentation
    • Objection Handling
    • Negotiation
    • Closing
    • Relationship Building
    • Custom skills
  5. Flag target skills (areas to focus coaching)
  6. Click Save

Coaching Recommendations:

  • SMVue drafts a coaching plan per skill
  • Suggestions appear in Meeting Prep
  • Track skill progress over time

Viewing Skill History

  • See past assessments
  • Track skill improvement
  • Identify consistent gaps
  • Celebrate skill development

Rep Visibility:

  • Reps can see their own skill assessments
  • Transparent feedback builds trust
  • Encourages self-directed improvement

Archiving Team Members

When a rep leaves:

  1. Go to team member's profile
  2. Click Archive
  3. Confirm archival

What Happens:

  • Team member removed from active list
  • Historical data preserved (meetings, notes, deals)
  • No longer appears in Dashboard or Focus Queue
  • Frees up rep's email for new user

To Restore:

  • Go to Team page
  • Enable "Show Archived" filter
  • Click Restore on archived member

Best Practices

Team Setup

  1. Import from CRM first — Don't manually create if CRM has the data
  2. Assign managers correctly — Determines who can coach whom
  3. Set quotas early — Needed for accurate attention scoring
  4. Add hire dates — Improves cadence recommendations

Quota Management

  1. Realistic quotas — Aggressive but achievable
  2. Consistent periods — Most teams use monthly or quarterly
  3. Update mid-period if needed — Market changes, rep changes
  4. Track historical quotas — Year-over-year comparison

Skill Development

  1. Assess quarterly — Track progress over time
  2. Flag 1-2 target skills — Focus coaching efforts
  3. Celebrate improvement — Recognize skill gains
  4. Share best practices — Top performers coach others

Team Organization

  1. Use teams for filtering — Easier analytics
  2. Consistent naming — "East Coast" not "East" and "East Region"
  3. Color-code teams — Visual organization
  4. Review team structure quarterly — Reorganize as needed

Troubleshooting

Cannot import from CRM

Issue: Import from CRM button grayed out

Solutions:

  • Ensure CRM is connected (Settings > Integrations)
  • Verify CRM sync completed
  • Check that you have admin permissions
  • Try disconnecting and reconnecting CRM

Team member not appearing

Issue: User exists but doesn't show in team list

Solutions:

  • Check "Show Archived" filter (might be archived)
  • Verify they're assigned to you as manager (not another manager)
  • Check seat type (Managers see their own team; Executives get a read-only view across managers)

Quota not tracking correctly

Issue: Actual revenue doesn't match what you expect

Solutions:

  • Verify quota period dates (might be tracking wrong period)
  • Check that deals are closed-won (not just moved to final stage)
  • Ensure deals are owned by this rep
  • Wait for CRM sync (updates flow in automatically via webhooks, plus scheduled and manual resync)

Skills not saving

Issue: Skill assessment changes not persisting

Solutions:

  • Check internet connection
  • Try refreshing page and re-entering
  • Contact support if issue persists
  • Seat Types — Understand Manager, Executive, and Rep seats
  • Dashboard — See team members in Focus Queue
  • Meetings — Schedule 1:1s with team members
