Pipedrive Integration
Connect SMVue to Pipedrive to sync deals, organizations, and activities.
Connect SMVue to Pipedrive to pull your deals, organizations, and activity into one place.
Early access (beta). The Pipedrive integration is still in early access. It connects and syncs, but it is not yet at the same coverage or reliability as our HubSpot and Salesforce integrations — there are known gaps. If Pipedrive is your main CRM and you need production-grade sync today, start with HubSpot or Salesforce, or talk to us about where Pipedrive stands. We're actively building this one out.
Requirements
Before connecting Pipedrive:
- You need admin access to your Pipedrive account
- Your Pipedrive plan must include API access (all paid plans do)
- You should have deals, organizations, and activities in Pipedrive
How to Connect
During Onboarding
- Select Pipedrive when prompted to connect your CRM
- Click Connect Pipedrive
- Log in to your Pipedrive account
- Review the permissions SMVue is requesting (read-only)
- Click Allow and Install
- You'll be redirected back to SMVue
- Initial sync will start automatically
After Onboarding
- Go to Settings > Integrations
- Find the Pipedrive integration card
- Click Connect
- Follow the authorization flow above
- Return to SMVue when complete
What SMVue Accesses
SMVue requests the following read-only permissions:
Deals (Required)
- Read deal records
- View deal fields and history
- Access deal stages and pipeline
Organizations (Required)
- Read organization records
- View organization fields
- See organization-deal associations
People (Required)
- Read person (contact) records
- View person fields
- See contact-deal associations
Activities (Optional)
- Read activities (meetings, calls, emails)
- View activity history
- Track engagement data
Users (Required)
- Read user list (to map deal owners)
- View user basic info (name, email)
Important: SMVue never writes data back to Pipedrive. All access is read-only.
Initial Sync
Once connected, SMVue will import your Pipedrive data:
What's Imported:
- All active pipelines and stages
- All open deals
- Recently won deals (default lookback is around the last 12 months; the exact window can vary)
- Recently lost deals (default lookback is around the last 6 months; the exact window can vary)
- Associated organizations and people
- Recent activities (default lookback is around the last 6 months; the exact window can vary)
- Deal collaborators derived from deal followers/participants, when those users map to team members
- Pipedrive users who own deals
SMVue imports the fields it needs for coaching and pipeline work — not every field on every object. Coverage is narrower than HubSpot and Salesforce while this integration is in beta.
Timeline:
- Small accounts (< 500 deals): 1-2 minutes
- Medium accounts (500-3,000 deals): 2-4 minutes
- Large accounts (3,000+ deals): 4-10 minutes
You'll see a progress bar showing sync status. You can start using SMVue as soon as the initial sync completes.
Ongoing Sync
After initial sync, SMVue keeps your data fresh with:
Scheduled Resync
Automatic updates for:
- New deals created
- Deal stage changes
- Deal updates (amount, close date, etc.)
- New activities
- Ownership changes
Periodic Reconciliation
A fuller background pass runs to reconcile data on a best-effort basis:
- Validates data
- Catches edge cases
Note: The Pipedrive integration doesn't use webhooks the way our HubSpot and Salesforce connectors do, so updates flow in on a scheduled cadence rather than near-real-time. You can always click Sync Now for the latest. As with all our connectors, sync is best-effort — we don't claim that no record is ever missed.
Pipeline Mapping
SMVue automatically imports all your Pipedrive pipelines and stages:
Multiple Pipelines:
- All pipelines are imported automatically
- You can set a default pipeline in Settings
- Filter by pipeline in SMVue dashboards
Stage Probabilities:
- SMVue uses Pipedrive's rottenness settings to estimate stage probabilities
- Custom probabilities can be set in SMVue (won't affect Pipedrive)
Team Member Mapping
During setup, you'll map Pipedrive users to team members in SMVue:
- SMVue shows all Pipedrive users who own deals
- Select which users are sales reps you want to coach
- Assign each rep to a manager (usually yourself)
- Choose their role (AE, SDR, CSM, etc.)
Later Updates:
- New users appear in Team > Import from CRM
- You can manually add team members who don't own deals yet
One Sync at a Time
Only one Pipedrive sync runs at a time per organization, so two people clicking Sync Now at once won't step on each other.
If you see "Sync in progress" but nothing seems to be happening:
- Give it a few minutes for the current sync to finish
- Try clicking Sync Now again
- Contact support if it stays stuck
Troubleshooting
Authorization Failed
Error: "Unable to authorize Pipedrive connection"
Solutions:
- Ensure you have admin access to Pipedrive
- Try using an incognito/private browser window
- Check that pop-ups aren't blocked
- Verify you're logging into the correct Pipedrive company account
Sync Stuck or Slow
Issue: Sync is taking longer than expected
Solutions:
- Large accounts can take up to 15 minutes — be patient
- Check Pipedrive's status page for outages
- If stuck for over 30 minutes, the lock may be stale — contact support
- Try clicking Sync Now to force a new sync
Missing Deals
Issue: Some deals don't appear in SMVue
Solutions:
- Check that deals exist and are active in Pipedrive (not deleted)
- Verify deals have a stage set
- Ensure deal owner is a user you imported to SMVue
- Check pipeline filter in SMVue (make sure you're viewing the right pipeline)
- Try manual refresh: Settings > Integrations > Sync Now
Updates Not Appearing Quickly
Issue: Changes in Pipedrive take a while to show up in SMVue
Explanation:
- The Pipedrive integration relies on scheduled and manual resync, not webhooks
- For the latest data, click Sync Now to force a refresh
This is expected for the current Pipedrive beta:
- Updates arrive on the scheduled resync rather than near-real-time
- Tighter Pipedrive sync is part of what we're still building out
Permission Errors
Error: "Insufficient permissions to access Pipedrive data"
Solutions:
- Ensure you granted all requested permissions during OAuth
- Reconnect integration and carefully review permission screen
- Contact your Pipedrive admin if permissions are restricted
- Verify you have a paid Pipedrive plan (free plans don't include API access)
Duplicate Deals
Issue: Seeing duplicate deals in SMVue
Cause:
- Can happen during resync; dedup is one of the known gaps we're hardening in the Pipedrive beta
Solution:
- Contact support to clear duplicate records
- We'll investigate and fix the underlying cause
Disconnecting Pipedrive
To disconnect your Pipedrive integration:
- Go to Settings > Integrations
- Find Pipedrive integration
- Click Disconnect
- Confirm disconnection
What Happens:
- SMVue stops syncing new data from Pipedrive
- Existing data in SMVue remains (not deleted)
- SMVue-specific data (notes, action items) is preserved
- OAuth authorization is revoked
To Reconnect:
- Click Connect on the Pipedrive card
- Re-authorize the integration
- All your SMVue data will still be there
Pipedrive-Specific Features
Deal Fields
SMVue syncs these Pipedrive deal fields:
- Deal Title
- Value
- Expected Close Date
- Stage
- Pipeline
- Owner
- Status (open, won, lost)
- Add Time (created date)
- Update Time (last modified)
Selected custom fields can be mapped in Settings > CRM Field Mapping. Field coverage is configurable but not exhaustive.
Activity Tracking
SMVue imports these Pipedrive activities:
- Meetings (scheduled or logged)
- Calls (logged)
- Emails (sent/received via Pipedrive)
- Tasks (to-dos)
- Custom activity types
Organization & Person Data
When viewing a deal in SMVue:
- See associated organization (company)
- View people (contacts) linked to the deal
- Access organization and person details
Pipeline Filtering
In SMVue dashboards:
- Filter by pipeline
- View deals from specific pipelines only
- Compare performance across pipelines
Best Practices
- Grant All Permissions — SMVue works best with full read access
- Keep Pipelines Organized — Archive old pipelines for better performance
- Update Deal Stages Regularly — Clean stages make risk and pipeline signals more useful
- Set Expected Close Dates — Keeps your pipeline picture honest (treat forecast figures as directional)
- Log Activities — More activity data gives the manager more to act on
- Use Organizations — Link deals to organizations for better context
Pipedrive vs Our Other CRM Connectors
The Pipedrive connector is in beta. Compared with HubSpot and Salesforce:
Where it stands today:
- Connects via OAuth and syncs your core deals, organizations, people, and activity
- Simple setup
Current gaps (being worked on):
- No webhook stream — updates rely on scheduled and manual resync, not near-real-time
- Narrower field and object coverage than HubSpot and Salesforce
- Dedup and other reliability edges are still being hardened
If Pipedrive is your main CRM and you need production-grade sync today, lead with HubSpot or Salesforce, or talk to us about where the Pipedrive integration stands.
